To add an event on any of your projects, you can simply click a day in the calendar. This works in any of the different calendar views. Once you click a day, the add new form will appear and the date will automatically be selected. From there, you will be able to add the event and set the time, add notes, set permissions, check attendee availability, and more.
This is a quick and simple way to add events to your project calendars. To view and edit all events in one place, navigate to the Global Calendar. From there you can view events across all projects and jump to a specific project event. Every project in Projecturf includes a calendar to set up events and to view your tasks. When you need to see your upcoming meetings and tasks, you can use the Attendee filter. This filter will let you choose any users on the project with events or tasks on the calendar. This is a simple way to see what's on your plate or view anyone else's upcoming schedule.
Just select a name from the drop down and you will only see the events and tasks that person has been assigned to. You can also use this filter on the global calendar which shows the events and tasks across all your projects. If you need to know who is available when scheduling an event, you can use the check attendee feature. Each project in Projecturf has it's own calendar for setting up events and meetings. You can also view and edit any events from your projects on the Global calendar. If you need to add any event to another one of your calendar apps such as iCal, simply click on the event and you can download it instantly:
As you can see, you can easily download any event from your Projecturf calendars. This is a simple way to grab an event from your project management application. Projecturf also let's you sync entire project calendars or all projects at once. You can learn more about this option here.
Both the project and Global calendars in Projecturf let you easily toggle back and forth between different views. This make is very easy to view your timelines and schedules exactly how you need to see them. For example, you can simply click on the daily view to see your schedule for today with the times of all your events and meetings. You can also quickly toggle between time periods by clicking the arrows on the right or left of the dates as shown here:
Switching between views is not only simple but helps you easily update your schedule and modify different users timelines. You can also quickly filter to tasks to see which tasks are coming due.
Using the different views allows you to easily manage schedules in your project management software. This can be done across all projects at once or from an individual project calendar by just using drag and drop. Learn more about using your project calendars by clicking here.
When adding new items to a project, you can mark them as private by simply checking the box that says make private. This is available in the Tasks, Tickets, and Calendar sections in each one of your projects. By making the item private, only the users that are included on the item and the person that created it will be able to see it. This privacy setting applies throughout the application so that only those given permission will see it in the other areas it's displayed such as the Dashboard, Reports, Gantt charts, and Global Tasks section. Marking items private is useful if you don't want to share everything on the project with a client or staff member, if information is confidential or just internal to your company, or if you don't want to include items on everyone's calendar and to-do list that aren't relevant to them.
When adding new items in the other sections of your projects such as Documents and Discussions, you simply select who gets access to it. In these sections there isn't a need for a make private option since you're not assigning items to people. Therefore, anyone that isn't granted permission won't be able to see it since they are automatically private. Visit the Projecturf support center to learn more about marking items private.
Instead of starting from scratch when setting up new projects, you can easily utilize what you've already created on other projects. When creating a new project, you can copy over all of your tasks and subtasks, calendar events, document folders, and contacts from an existing project. This is extremely useful when you need to have the same tasks or events on multiple projects. You can also choose a different start date for the new project, which will automatically shift the dates on all of your tasks, subtasks, and calendar events. This is done for you so that you won't have to manually update the dates for each item. When the dates shift, the task and event start dates will also skip weekends if they did not originally begin on a weekend.
To duplicate a project, simply select an existing project from the Choose Template drop down menu when adding a new project. Set a start date and give your new project a name. You can learn more about how project templates work by clicking here. Now get started on your project with all your tasks, subtasks, document folders, contacts, and project settings pre-populated!
The calendar allows you to easily modify your tasks in Projecturf. Your calendars will only display tasks that have start and end dates. To view your tasks in the calendar, simply go to the calendar and filter to tasks on the gray filter bar. You can quickly change the time period on the calendar using the arrows and also set the calendar view to show the month, week, or day. From any view, use drag and drop to move and resize tasks. You will only be able to drag and drop them if you have permission to edit the task. You can also make changes to tasks across all your projects in one place using the drag and drop functionality on the Global Calendar. Every project in Projecturf has it's own calendar and set of contacts. You will typically have the same contact assigned to multiple projects, and therefore you'll want a quick way to check each users availability when adding a new event. By using the check attendee availability button in the add new panel on the calendar, you will be able to immediately see if there are any conflicts. As shown in the video below, clicking the check attendee availability button will show who is busy during the selected time. By navigating to the Global Calendar, you can see what has already been scheduled and the project the event is associated with. This will help you easily schedule meetings and events and make changes on the fly.
Keeping track of upcoming deadlines, overdue tasks, and schedule changes across multiple projects and teams can be a daunting task. Using a simple project management software like Projecturf will centralize and track all the moving parts of your projects while keeping you organized and focused on getting things done. A critical part of staying informed and meeting deadlines also includes quick email notifications and project status updates. Therefore, to further enhance project tracking and make managing projects easier, we've introduced a daily progress email notifying you of important updates across all of your projects.
The Daily Progress Report is a nicely formatted HTML email displaying your new and completed tasks and tickets, overdue tasks, and upcoming events and tasks. Now you will be notified of what's due within the next week, upcoming meetings, and which items have been completed. You'll also see when new tasks or tickets are added and who created them. These emails will only show items based on your individual permissions. System admin will see these changes to all projects regardless of whether or not they are assigned to the project. I've included a partial screenshot here with an example of what the report looks like.

Having this information at your fingertips will ultimately results in greater productivity across project teams, easier communication, and quicker decision making.
