Each of your projects includes a Documents and Designs section for uploading and sharing files in your project management app. You can quickly email files to anyone in your address book by using the share option. This allows you to send files or designs right from Projecturf, instead of going back to using email. To send files, simply click the share option to the right of the file or design. A panel will appear to send the file as shown here:

Each one of your projects in Projecturf includes a Dashboard with a section up top to write project briefs and notes. Only project managers have permissions to add notes and briefs, but they are displayed to everyone on the project. The brief is a great way to include an overview of the project and the notes can be used to inform the project team of any changes along the way and they include a date stamp to track them. Since it's the first thing you see when opening the Dashboard, all users will easily see your project notes.
You will always see a history of all your notes from the Dashboard page since your notes will never be automatically deleted. However, you can delete them at anytime or change them. Learn more about using project briefs and notes in your project management software by visiting our help center.
Projecturf lets you upload, share, and view Vimeo and Youtube videos in each one of your projects. Users can easily view the videos right in Projecturf. From the Documents section, you can upload videos and set the permissions, get them approved, track versions, collaborate online, and much more. To view a video inline, you can just simply click on the name. I've included a short video tutorial on how to share your videos here:

A simple way to collaborate with clients, keep them informed, and get their feedback is by inviting them to your project management tool. Before you invite a client to join your Projecturf account, you can set custom permissions for your clients in each project. This can be done by granting read/write or view only access to any section or also hiding sections that clients won't need access to. Therefore, you can set up each project based on your project requirements and grant or restrict access as you see fit. For example, if you don't plan to use the Tasks section with a client, then simply hide that section when setting the client permissions.
Once you've added your client to a project, you can begin collaborating and getting things done using Projecturf. You can easily calendar upcoming meetings and events, share and collaborate on ideas related to the project using whiteboards, set budgets and track hours and expenses against the budget, create discussions with clients to keep all project related communication in one place, share files and keep track of the latest versions, assign tasks and set due dates, share project schedules, and much more. If you are a designer and need to showcase your work to a client, you can use the Designs section which nicely lays out all your designs in a thumbnail gallery. Clients and co-workers can preview the designs inline, rate them on a five star scale, add comments and feedback, and approve them right in Projecturf.
Projecturf will keep you and your clients up to speed on all the moving parts of your projects at all times. By using the email alerts, you will always get notified of any new items or changes made to your projects. You can also track progress and updates by using the activity dashboards, RSS feeds, and Daily Progress Report emails.
Navigating Projecturf is quick and easy for your clients. They can click any section to quickly access the data they need and to add new items. Lists can be filtered and sorted with only one or two clicks to instantly find what they're looking for. Clients can also use the built in search tool to find items quickly. Also, when your clients receive email notifications, clicking the link in the email will take them directly to that specific item in Projecturf so they can immediately see it and respond if necessary or even reply via email. Projecturf allows you to store and share bookmarks and code snippets in each one of your projects. Adding bookmarks is simple and let's you keep a list of all the URL's that you need for a project and want to share. You can also store login information, add a name, and create a description for the link when entering the web address. Once you've added a link, click on the name and from there you can open it, delete it, or save changes to it. Bookmarks are added in the Tickets section and are accessible by anyone on the project. The Global Tickets section lists the bookmarks across all of your projects in one place. Adding bookmarks comes in handy when you need to share links with the project team or client, and also to store and remember important URL's.
Adding and sharing code snippets is just as easy as sharing bookmarks and is a useful tool for developers. You can copy and paste code from any programming languages directly into your project. To add your code, navigate to the Tickets section of your project and click the "+" button next to code snippets. Simply give it a name, select a language, and paste in your code. You can open the code at any time by clicking on the name you gave it. This is shared with everyone on a project and is also added into the Global Tickets section for quickly accessing code snippets for any projects. Projecturf offers simple ways to collaborate on files and gather feedback on designs. When uploading a new design or document to one of your projects, just fill out the message box to begin a new discussion. If you send an email notification with the new message, users will be able to reply via email. By adding a message, you can solicit feedback, add any important comments, and ask users to make changes or add information to a file. All comments on documents and designs are linked directly to the Discussions section. You will see the number of comments associated with each file to the right of the file name. By clicking on the number of comments, you will automatically be directed to that specific discussion where you can add a reply or make other changes.
If a document or design has already been uploaded, you can start a discussion about it from the Discussions section. After you click to add a new discussion, change the type to Document or Design and then select the file name from the drop-down menu. From there, you can set permissions and send email notifications of your new discussion.
Each project in Projecturf has a Designs section for sharing, collaborating, obtaining approvals, and rating designs. The designs can be grouped into categories and are displayed as thumbnails. By clicking on a thumbnail, you can view the design inline and also scroll through them using the arrows. When uploading a design, simply check off the users that you want to view the design. Anyone given permission on a design will be able to approve and rate it on a five star scale. Watch the short video tutorial below to learn more.
Also, if you don't need to use the Designs section on a project, it can be turned off in the project settings.
Each project in Projecturf includes a Whiteboard section for creating, sharing, and collaborating on files. Whiteboards use a simple check-in / check-out process for updating files. After clicking edit from within a whiteboard, you are essentially "checking it out" and therefore you are the only one who can make changes to the file until checking it back in (by clicking save and close in the top right). A list of who has made changes to it along with a date and time stamp is available by clicking on the arrow to the left of the Whiteboard name. After opening the whiteboard and clicking edit, a formatting toolbar will appear, which is used to add lists or bullets, include images, and easily format text.
With the whiteboard open, simply hover over the collaborators icon on the top right and you will see who has access to it. Any users that are granted permission to the whiteboard are able to view and make edits to it. Access is easily granted by checking off names when creating or modifying the whiteboard.
Whiteboards are a simple and effective way to create lists, share ideas, develop a plan of action, organize project related data, collaborate with multiple users, and much more. Instead of emailing files around to several people and manually consolidating inputs, use the Whiteboards section to centralize, store, and collaborate. In version 3.2, we've introduced HTML formatted emails. This includes all emails sent from Projecturf such as notifications, discussions, and Daily Progress Reports. With all the system emails formatted in HTML, they appear much cleaner and more presentable, which is very important when working with clients and colleagues. The emails are nicely laid out and easy to follow for improving communication. Below is an example of the newly formatted HTML emails.
However, we also offer the option to turn off HTML emails if you still wish to receive them in plain text. This can be done by going to the account section as described here.
The new email enhancements were a direct result of feedback from you. You can continue to share new ideas or vote on existing ones by visiting our suggestion forum.
We have vastly improved the process for replying to discussions from your email. When replying to a discussion, all you will need to do is hit reply, type your message, and click send. Since the emails now say "Add your reply above this line," everything you type will be included in the reply and post to your account for that discussion topic. You are no longer required to input your message in between the lines, which makes it as easy as replying to any other email. When adding a new discussion from Projecturf, the send email notifications checkbox (as shown below) must be checked to receive the emails. Everyone added to the discussion will receive all email replies.
We also redesigned our website and released it to the public on Friday, July 1st. The streamlined design offers a quick overview of our plans and simple sign up as well as a video demo of version 3.0, which is included on the Projecturf homepage. This new custom blog is also a major part of the release and provides a sleek design and quick navigation, which we have transitioned over from Wordpress.
