Using Discussions in Your Project Management Tool

In every project you can add new discussions quickly and select who you want to include on the discussion. You can also attach a discussion to an existing document or design and collaborate on them using the reply via email option or directly from within your project management app. When in the app, quickly see who is included on a discussion by hovering over the people icon next to the subject name on the tab as shown here:

This makes it easy to see who's involved in a conversation when you're replying and revisiting a previous discussion. You can also easily add and remove people from the discussion at any time. This is an important option as projects evolve and more users get looped in. Your discussions are simple to use in Projecturf and you can easily view full threads by clicking show more on any past conversations.

New Enhancement: Discussions Auto Archived on Your Projects

We just released an update that auto archives your discussions after 30 days in all of your projects. This used to be a manual process where you needed to archive each discussion topic individually. This makes managing discussions much easier and now you only see recent and ongoing discussions. Archived discussions can be accessed by clicking the Archived button on the gray filtering bar as shown here:

Discussions are reactivated automatically if they receive a new comment. This allows you to always see the latest replies from within the Discussions section. Centralize Discussions in Your Project Management Tool

Every project includes a Discussions section for collaborating on documents, designs, and all other project related activity. You can simply include your comments when adding a document or design or choose any type of discussion directly from the Discussions section as shown here:

When adding a new discussion in your project management app, you can quickly select who you want to include and also send an email notification. The notifications allow each person to reply directly from their inbox. Therefore, all project discussions stay organized within each project. This makes it easy to keep track of all communication on your projects in one place.

The discussions section is also very easy to navigate. You can use the arrows on the right of each conversation to page up or down and sort all your discussions based on your preference.

Each topic is highlighted in your chosen system color and if you hover over the icon next to the topic, you can see everyone included on that particular discussion. To reply inline, just click on the reply button below each discussion. You can quickly find an older discussion thread in seconds by using the built in search tool. Replying to Discussions Made Simple AND New Website Released

We have vastly improved the process for replying to discussions from your email. When replying to a discussion, all you will need to do is hit reply, type your message, and click send. Since the emails now say "Add your reply above this line," everything you type will be included in the reply and post to your account for that discussion topic. You are no longer required to input your message in between the lines, which makes it as easy as replying to any other email. When adding a new discussion from Projecturf, the send email notifications checkbox (as shown below) must be checked to receive the emails. Everyone added to the discussion will receive all email replies.

Website Redesign

We also redesigned our website and released it to the public on Friday, July 1st. The streamlined design offers a quick overview of our plans and simple sign up as well as a video demo of version 3.0, which is included on the Projecturf homepage. This new custom blog is also a major part of the release and provides a sleek design and quick navigation, which we have transitioned over from Wordpress.

10 Projecturf Tools that Simplify Your Projects

Project management software can provide many useful benefits to businesses and freelancers. Some of these are easily quantifiable right away such as centralizing and organizing all the moving parts of a project, while others you start to see over time. I've compiled a list of several features available in Projecturf that will help you be more efficient in managing your projects, free up a lot of your time, reduce administrative tasks, and keep you focused on getting things done.

Contact Groups: Use the advanced drag and drop functionality to create contact groups for quickly adding users to a project, for assigning users to a task or ticket, and setting permissions in any section. This is not only a big time saver when assigning tasks and tickets to pre-defined groups, but a great way to keep all your contacts organized.

Drag and Drop Calendar similar to iCal:  A full calendar for every project which includes your tasks, subtasks, and events. Simply drag and drop events or rearrange project plans quickly. You can view all your schedules from your project calendar and make adjustments on the fly.

Reply to discussions via email: Reply to notifications directly from your inbox and keep all your discussions centralized in one location. Use this section to quickly find old emails and archive past discussions.  You can also create discussions that are linked to specific designs and documents.

RSS Feeds / Email Notifications: Use the detailed RSS feeds to track all your project updates and choose to be notified via email of new project activity. You will be notified every time someone makes a change to a project or adds a new item.

Global Dashboard: Allows you to track all of your projects in a single location. Use reports for simple and clear summaries of your data and resources and view latest activity, calendars, tasks, bug tracking entries, timecards, and more across all your projects. Simplify your existing project plans and stay informed on all projects in one place.

Whiteboards: This section was added to allow users to create, edit, share, and collaborate on documents in Projecturf. It is similar to Google Docs and let's users set permissions, tack versions, and make edits using a custom inline editor. This eliminates emailing around files and asking others for updates. Keep all edits centralized and stay organized using this collaboration software tool.

Project Templates: The project templates allow you to use a set list of tasks, subtasks, and contacts for any new project. The dates from the your task list update automatically when you duplicate the project based on when the project is created. This is a great way to start a new project if you have similar tasks.

File Versioning: If you're like me, then you are constantly collaborating on different documents and making updates and changes to files. In the documents section, click the Actions button to upload a new version. It will always show the latest file along with all prior versions to keep track of the changes.

Approve and Rate Designs: These two features will make a big difference if you work a lot with clients or designers. Whoever is given permissions on a design can digitally approve them and also rate any design based on a 5 star scale. This removes many roadblocks to moving projects along and getting things done.

Project Completion Report: This is my favorite report because it gives you a full picture of your project at any point in time. You can customize the report based on any dates or specific users, it's nicely formatted to print, and the output displays tasks with subtasks, status, due date, who's responsible, and the percent complete.

Reply to Discussions Via Email

New in Projecturf 2.0, you can reply to discussions directly from your inbox. When creating a discussion from the Designs, Documents, or Discussions section, simply check the box to send email notifications and everyone that has been given permission will receive the email. When replying from your inbox, send your response between the two lines in the email (which are shown below) and it will automatically post to that discussion topic in your Projecturf account. Additionally, with each reply you will receive a new email notification with the latest comments and the same format for replying back into your project management tool. Also, you will not receive emails for your own replies since you already know what you had sent and to limit the number of emails you receive. You may also include links with your replies.
