Quick Tip: Copy All Tasks, Subtasks, and Events

Instead of starting from scratch when setting up new projects, you can easily utilize what you've already created on other projects. When creating a new project, you can copy over all of your tasks and subtasks, calendar events, document folders, and contacts from an existing project. This is extremely useful when you need to have the same tasks or events on multiple projects. You can also choose a different start date for the new project, which will automatically shift the dates on all of your tasks, subtasks, and calendar events. This is done for you so that you won't have to manually update the dates for each item. When the dates shift, the task and event start dates will also skip weekends if they did not originally begin on a weekend.

To duplicate a project, simply select an existing project from the Choose Template drop down menu when adding a new project. Set a start date and give your new project a name. You can learn more about how project templates work by clicking here. Now get started on your project with all your tasks, subtasks, document folders, contacts, and project settings pre-populated!

Use Version Control with Your Project Documents

Each project in Projecturf includes a Documents section to centralize all your files. When uploading a document, you can set permissions by checking off the names. Anyone given permission can upload a new version of the file. This is a simple way to keep track of all revisions and always have the latest file available. This also eliminates the need to email files back and forth or spend your time searching for the latest one. To use this feature, click on the action panel to the right of the file name and select "new version" from the drop down list. Once you've uploaded a new version, it will display the most recent document with the prior versions indented below it. You will have access to all previous versions and see who uploaded them. Also, If you need to have a discussion about the file or have someone update it, you can collaborate on it by starting a discussion when adding the document. This can also be done from the Discussions section and users can reply quickly via email.

Easily Manage Projects using the Project Completion Report

Projecturf makes managing your projects simple. Each of your projects has a Project Completion Report which allows you to quickly view the progress being made at any time. This report pulls all of your task data together in a presentable format to give you an overview of your project. It includes all of your tasks and subtasks, responsible persons, the status, duration, due dates, and percent complete for each task (as shown in the screenshot below). It can also be customized to show a specific time period and to only display tasks for a specific person.

This report has various sorting options for easily getting your desired output and also includes basic project statistics such as percent complete of the entire project and the overall status of your tasks. By having this information at your fingertips, you can monitor your projects, provide clients or co-workers with a status report, follow up on incomplete or late tasks, and shift responsibilities based on workloads. The Project Completion Report is a very useful tool which helps you stay focused on getting things done.

How to Manage Your Email Notifications

There are several ways to track updates and changes on your projects in Projecturf. Some of the ways to track these updates include the project and global dashboards which show the latest activities on your projects, the Daily Progress Reports, RSS feeds, and email notifications. If you want to cut back on the number of emails you receive or find using methods other than email more useful, then you can easily turn them off for any or all sections. In this short video tutorial, you will see how to quickly turn email notifications on and off for each project section. If the My Alerts option is not available for a project, then notifications were turned off at the project level for all users by a project manager.

Easily navigate the Projecturf Interface

The current Projecturf design and layout is the result of over a year spent in the lab refining every last detail with pixel-perfect precision and throughly testing each component. Projecturf was designed with the end user in mind to offer an intuitive and flexible project management software which is easy to navigate and customize, has practically no learning curve, significantly improves productivity, is aesthetically pleasing, and is enjoyable to use.

Here are some key components of the User Interface that differentiate Projecturf and make managing your projects simple:

  • The Global section stays pinned on the left side to easily access it at any time. By clicking the Global tab, you will see data across all your projects and remain in the same section you were previously viewing in your project. You can also click your logo on the top left at any time to enter the Projects page.

  • Pin up to 6 different project tabs to quickly jump back and forth between your projects. Drag and drop project tabs into any order you prefer. The selected project tab will be highlighted and you can close project tabs by clicking the "x" button on the tab. Quickly enter the project settings by clicking on the settings icon on the open project tab.

  • Use the "+" button on top right of the main navigation bar to quickly add a new item from any page. The plus button is used in all project sections to add new data.

  • Action panels are used throughout the app in all the project sections for changing or removing data. This was designed for consistency across sections, ease of use, and to unclutter data rows with lots of icons.

  • Each project section is easily identified by the custom icons at the top of the page. Simply click an icon to enter a project section. Sections and functionality can be turned off in the Project Settings page for any user or for all users on the project.

  • Find any data quickly using the gray filter bar or click the magnifying glass to search the project or section. Most sections such as Tasks and Tickets are laid out as simple lists that can be sorted or filtered to instantly access your critical project information. You can also sort the data by using the column headings right above your data.

  • Projecturf is professional looking and fully customizable. You can set the background color, upload and crop your logo, set the navigation colors, create a unique subdomain, and also customize the colors for the Gantt charts and calendars.

  • Projecturf deploys the latest web technologies such as jQuery and Ajax for a fast and efficient experience. To speed up your work, you can also use drag and drop to move and resize tasks and events on the calendar or the custom Gantt charts. Drag and drop is also utilized in other areas to make quick updates or changes. Contacts are dragged to create groups and project tabs can be moved quickly with drag and drop as well.

New HTML email formats

In version 3.2, we've introduced HTML formatted emails. This includes all emails sent from Projecturf such as notifications, discussions, and Daily Progress Reports. With all the system emails formatted in HTML, they appear much cleaner and more presentable, which is very important when working with clients and colleagues. The emails are nicely laid out and easy to follow for improving communication. Below is an example of the newly formatted HTML emails.

However, we also offer the option to turn off HTML emails if you still wish to receive them in plain text. This can be done by going to the account section as described here.

New Feature: Drag and Drop Gantt Charts

We've just released drag and drop functionality on the custom Gantt charts. Now you can update your project schedules by quickly dragging or resizing tasks and subtasks right in the Gantt chart. You can use the global Gantt chart to make changes across all of your projects in one place or use the project Gantt chart for updating a single project. Filters are included on the top of the chart in order to view specific time periods, only show tasks and subtasks for a specific user, and to add/remove subtasks. There are also several sorting options available when displaying the chart.

Customize Projects to Your Liking

With all the customization options available in Projecturf, you have full control over each one of your projects. From the project settings page under Roles & Permissions, you can hide sections and reports from clients, staff, and managers. This will also hide features not being utilized in the project. If for example the team will not be using the Timecard section in one of the projects, then simply hide this section and the timecard icons will be removed from all tasks and tickets on that project. You can also hide sections from certain user types such as clients or from everyone. If you aren't going to be presenting designs in a project, hide the Designs section from all user types from the project settings page. It's that easy. You also have the option to set view only or read / write access for each user in every section.

New Enhancement: Quickly Access Project Settings

We have added an enhancement that allows you to enter the project settings page with just one click. If you have a project open and need to make changes to the settings, simply click the icon on the right side of the project tab (as shown below). This will take you directly to the settings tab where you can add users, change permissions, set your project budgets, and more. This comes in handy when you need to make frequent changes to the project and easily navigate back and forth.
