Instead of starting from scratch when setting up new projects, you can easily utilize what you've already created on other projects. When creating a new project, you can copy over all of your tasks and subtasks, calendar events, document folders, and contacts from an existing project. This is extremely useful when you need to have the same tasks or events on multiple projects. You can also choose a different start date for the new project, which will automatically shift the dates on all of your tasks, subtasks, and calendar events. This is done for you so that you won't have to manually update the dates for each item. When the dates shift, the task and event start dates will also skip weekends if they did not originally begin on a weekend.
To duplicate a project, simply select an existing project from the Choose Template drop down menu when adding a new project. Set a start date and give your new project a name. You can learn more about how project templates work by clicking here. Now get started on your project with all your tasks, subtasks, document folders, contacts, and project settings pre-populated!
Projecturf offers simple ways to collaborate on files and gather feedback on designs. When uploading a new design or document to one of your projects, just fill out the message box to begin a new discussion. If you send an email notification with the new message, users will be able to reply via email. By adding a message, you can solicit feedback, add any important comments, and ask users to make changes or add information to a file. All comments on documents and designs are linked directly to the Discussions section. You will see the number of comments associated with each file to the right of the file name. By clicking on the number of comments, you will automatically be directed to that specific discussion where you can add a reply or make other changes.
If a document or design has already been uploaded, you can start a discussion about it from the Discussions section. After you click to add a new discussion, change the type to Document or Design and then select the file name from the drop-down menu. From there, you can set permissions and send email notifications of your new discussion.
Next to each task in Projecturf, there's a timer icon that is used to input the time spent on a task. After clicking the icon, you can quickly input the hours, date, hourly rate, and mark it billable. Once you record your time, the icon will turn blue and you can view the hours and fees associated with that task by clicking on it. Time can also be recorded in the Global Tasks section which displays tasks across all of your projects. This functionality is available for both the Tasks and Tickets sections. All time recorded will be displayed in the Timecard section of the project as well. You can use the Timecard section or the Hours and Fees report to filter and view the data. Remember, access to Timecard data is based on permissions and therefore only project managers can view someone else's time entries on tasks or tickets. Watch this short video tutorial to learn more:
Each project in Projecturf has a Designs section for sharing, collaborating, obtaining approvals, and rating designs. The designs can be grouped into categories and are displayed as thumbnails. By clicking on a thumbnail, you can view the design inline and also scroll through them using the arrows. When uploading a design, simply check off the users that you want to view the design. Anyone given permission on a design will be able to approve and rate it on a five star scale. Watch the short video tutorial below to learn more.
Also, if you don't need to use the Designs section on a project, it can be turned off in the project settings.
The Timecard section lists all hours, fees, and expenses for a project. You can view the timecard entries when in a project or across all of your projects by navigating to the Global Timecard section. As a quick and useful tool, you can export this data at any time to a CSV file by clicking on the export icon on the far right of the gray filter bar (as shown here).
Before exporting the data, you can set filters to specify your desired output. You can filter the entries by author, billable or non-billable, the time period, and paid or unpaid items. Once filtered, simply click the export icon and it will begin downloading to your computer as a CSV file based on the filters you set. The exported data will show all information including the notes and name of the project associated with each entry. Exporting timecards is available at the project and global level.
This is very handy if you need the data in excel or wish to import it into another software program such as Quickbooks.
Each project in Projecturf includes a Documents section to centralize all your files. When uploading a document, you can set permissions by checking off the names. Anyone given permission can upload a new version of the file. This is a simple way to keep track of all revisions and always have the latest file available. This also eliminates the need to email files back and forth or spend your time searching for the latest one. To use this feature, click on the action panel to the right of the file name and select "new version" from the drop down list. Once you've uploaded a new version, it will display the most recent document with the prior versions indented below it. You will have access to all previous versions and see who uploaded them. Visit the support center to learn more about file versioning.
Also, If you need to have a discussion about the file or have someone update it, you can collaborate on it by starting a discussion when adding the document. This can also be done from the Discussions section and users can reply quickly via email.
Project managers can easily organize users on a project and assign items to multiple users by creating contact groups. After setting up your contact groups on a project, each section allows you to quickly set permissions or assign responsibility to multiple people by just selecting a group name. For example, if you upload a new document for the marketing team, you can click on the marketing group and all users assigned to that group will have access to the document. This same functionality is used throughout the app, such as when assigning responsibility to a task or ticket, creating an event, and starting a discussion. We've just released drag and drop functionality on the custom Gantt charts. Now you can update your project schedules by quickly dragging or resizing tasks and subtasks right in the Gantt chart. You can use the global Gantt chart to make changes across all of your projects in one place or use the project Gantt chart for updating a single project. Filters are included on the top of the chart in order to view specific time periods, only show tasks and subtasks for a specific user, and to add/remove subtasks. There are also several sorting options available when displaying the chart.
